The University Library is seeking a Library Officer to join our Special Collections & Archives (SCA) team. This is a hands-on role in a small, dedicated unit responsible for arranging, describing, preserving and providing access to the Library’s special collections and archival holdings. Responsibilities:

• Process, arrange and describe archival and library materials in accordance with international standards;
• Maintain and further develop the Library’s ArchivesSpace platform in collaboration with the Library’s Systems team;
• Provide users services both in person at service counters and remotely by phone and email;
• Prepare statistics and reports related to user services, perform monthly financial reconciliations, and monitor environmental conditions in SCA stack areas;
• Contribute to digitisation projects and the development of digital platforms to enhance access to information;
• Contribute to the Library’s web archiving programme;
• Assist with recruiting, training, scheduling and supervising student and part-time helpers, and check the quality of their work; and
• Assist with exhibitions, outreach activities and workshops to promote SCA collections.

Requirements:

• A bachelor’s degree, preferably with four years of relevant experience in archives, libraries or related cultural heritage settings;
• Good knowledge of international archival processing/description standards and an understanding of catalogue records and library practices;
• Hands-on experience administering and using ArchivesSpace is highly desirable;
• Working knowledge of Ex Libris Alma and Primo; familiarity with Alma Analytics is an advantage;
• Proficiency in Microsoft Office and experience with image processing and OCR software, strong Excel skills for indexing and data cleaning;
• General knowledge of metadata management, including common standards (e.g., DACS, ISAD(G), MARC) and controlled vocabularies;
• Working knowledge of web archiving tools (e.g., Archive-It) is preferred;
• Knowledge of preservation and conservation principles and disaster recovery for archival/library materials is an advantage;
• Strong research, analytical, communication, interpersonal and training skills; proven ability to handle complex enquiries and liaise effectively with diverse stakeholders;
• Ability to work accurately and independently as well as collaboratively in a small team; mature judgement and a service-oriented mindset;
• Good command of written and spoken English and Chinese (Cantonese and Putonghua); and
• Familiarity with photocopiers, microform readers and scanners; some experience in preparing and organising exhibitions is an advantage.

Candidates with less experience or academic qualifications may be considered for appointment as Assistant Library Officer.

The initial appointment will be offered on a fixed-term contract of two years. Re-appointment thereafter will be subject to mutual agreement.

Salary will be commensurate with qualifications and experience.
